Responsibilities:

  • Manage and prioritize daily administrative tasks to ensure smooth office operations.
  • Coordinate and schedule appointments, meetings, and site visits for property managers and executives.
  • Assist with lease administration, including drafting, reviewing, and renewing leases.
  • Maintain and organize physical and digital filing systems for leases, tenant records, and property documentation.
  • Handle incoming communications, including phone calls, emails, and mail, ensuring timely responses.
  • Assist with tenant inquiries, requests, and concerns, acting as a liaison between tenants and property management.
  • Prepare and process tenant move-ins and move-outs, ensuring all documentation is completed accurately.
  • Help manage property maintenance schedules, including coordinating with vendors and tracking work orders.
  • Generate and assist in preparing property reports, rent collections, and other administrative tasks.
  • Ensure office supplies are stocked and ordered as necessary.

Job Requirements

Qualifications for the Administrative Assistant:

  • Bachelor's degree in Business, Finance, or Legal field preferred, or equivalent experience
  • Minimum of 5 years' experience in lease administration, real estate accounting, or contract management
  • Ability to interpret commercial leases
  • Paralegal experience a plus
  • Strong planning, problem-solving, and proactive issue resolution skills
  • Detail-oriented with a focus on accuracy
  • Self-motivated with excellent time management and prioritization abilities
  • Proficient in Microsoft Office Suite; experience with Yardi/Commercial Edge preferred
  • Strong communication and interpersonal skills
  • Ability to remain flexible and calm under pressure
  • Fluent in English
  • Must submit to pre-employment background check and drug screening
  • Reliable transportation required
